Adding a Task

Tasks are defined work that occurs in regard to Bridgeway Suite. When a task is created in Bridgeway Suite, Lotus Notes/Microsoft Outlook can be updated with the relevant information.

To Add a Task:

1.          From the Calendar tab or the Calendar List page of the Calendar module, click the New button and select Task from the dropdown list. Alternatively, if a date field on a tab has been linked to the Calendar, click the images\icn_hot_add.jpg icon next to the date field.

2.          If you accessed the Calendar dialog box from the Calendar module, an additional field allows you to indicate the matter/entity to which this task is to be attached. Click the button next to the Matter Name/Entity Name field to select a matter/entity.

3.          Type a subject for the task that will display on the Calendar List page, then select an event category (determined by the System Administrator).

4.          Click the Private checkbox to make the task visible to assigned users only.

5.          Click the Calendar button next to the Start Date field. Enter any other dates, such as the Due Date, as needed.

6.          Enter other information, such as priority, as needed.

7.          To have Lotus Notes/Microsoft Outlook display a reminder notice, click the Reminder checkbox and enter the reminder time in minute increments. The time will be converted to hours and minutes in Lotus Notes/Microsoft Outlook. For example, to have Lotus Notes/Microsoft Outlook send a reminder an hour and a half before the event, enter “90”. You also can use the Calendar Appointment Alerts widget on the Bridgeway Suite home page for reminders.

8.          To send a notification of the task to a user in the Invitees list, click on the checkbox next to the user name. Users who appear in the list have an associated person record attached to the Bridgeway Suite user identifier.

9.          Click Save to save your changes. If the Save to Notes/Outlook checkbox is selected, the Lotus Notes/Microsoft Outlook data entry screen will open and the fields entered for the task will be imported. If Microsoft Outlook is not open, you will be asked to enter your Microsoft Outlook password when the task data entry screen is accessed.

To Edit a Task:

1.          From the Calendar module, double-click on a task on the Calendar List page. From the Matters module (eCounsel only) or the Entities module (Secretariat only), click on the task on the Calendar tab.

2.          On the Calendar dialog box, make changes as needed.

3.          Click Save.

To Copy a Task:

Select the task on the Calendar tab or Calendar List page, and click the Copy button. A copy of the data window will open. Change the appropriate information and save.
